Accounting Operations Specialist

Location: Syracuse, NY
Schedule: Full-time, Monday–Friday
Compensation: $50,000–$55,000 annually
Classification: Non-exempt

Sapphire Recruitment is partnering with a well-established, mission-driven organization in Syracuse to hire an Accounting Operations Specialist. This position is ideal for an accounting professional who enjoys hands-on transactional work, takes pride in accuracy, and can manage multiple priorities and deadlines.

The Accounting Operations Specialist will have primary responsibility for accounts payable while also supporting accounts receivable, reconciliations, financial reporting, period-end close, and grant-related financial documentation.

Responsibilities

  • Process vendor invoices, verify coding and approvals, and prepare payments by check, ACH, and other approved methods.
  • Maintain accurate vendor records and supporting documentation, including tax forms and annual 1099 reporting.
  • Research and resolve invoice discrepancies, duplicate charges, missing documentation, and payment inquiries.
  • Assist with customer invoicing, payment application, account reconciliation, and outstanding receivables.
  • Support monthly, quarterly, and year-end close activities, including journal entries and balance-sheet reconciliations.
  • Review general ledger activity and investigate errors, omissions, or unusual transactions.
  • Reconcile transactions between related entities and maintain accurate supporting records.
  • Assist with cash-flow reporting, tax filings, compliance reporting, and internal financial controls.
  • Gather and maintain documentation related to grants and restricted funding, ensuring expenses are properly supported and compliant with requirements.
  • Support audit requests, reimbursement documentation, and other compliance reviews.
  • Provide backup support across the finance function and assist with process improvements and special projects.

Qualifications

  • Associate degree in Accounting, Finance, Business, or a related field preferred; relevant experience may be considered in place of a degree.
  • 2+ years of experience in accounts payable, bookkeeping, or general accounting preferred.
  • Working knowledge of accounting and bookkeeping principles.
  • Strong Microsoft Excel skills, including formulas, lookups, pivot tables, and data reconciliation.
  • Experience using an accounting or financial-management system.
  • Familiarity with vendor tax documentation and 1099 reporting preferred.
  • Experience in a nonprofit, fund-accounting, multi-entity, or similarly complex financial environment is a plus.

Work Environment

This position is primarily office-based and involves regular computer work, document review, data entry, reconciliation, and financial analysis.
