Assistant Deputy Chief of Staff
Location: Remote in NY State
Schedule: Full-Time, 40 hours per week
Duration: 7–9 month contract
Pay Rate: $50-70/hr DOE
Sapphire Recruitment is seeking a polished and highly organized Assistant Deputy Chief of Staff to support the Office of the President for a large public-sector organization focused on energy innovation and sustainability initiatives across New York State.
This high-profile role works closely with the Chief of Staff to keep the President & CEO prepared, organized, and supported across executive meetings, communications, follow-up items, and priority initiatives. The ideal candidate is discreet, detail-oriented, an excellent writer, and comfortable managing time-sensitive requests in a fast-paced executive environment.
Key Responsibilities
- Prepare the President & CEO for internal and external meetings, presentations, and events
- Support the Chief of Staff with executive office operations, meeting coordination, file management, and request triage
- Track deadlines, action items, and follow-ups to ensure timely completion
- Draft, edit, and coordinate polished communications for senior-level stakeholders
- Help manage responses to inquiries from government offices, board members, oversight entities, and external partners
- Support high-priority initiatives across the executive office
- Maintain confidentiality and professionalism when handling sensitive information
What We’re Looking For
- Bachelor’s degree or equivalent combination of education and experience
- Experience supporting senior executives in a high-profile, fast-paced environment
- Strong writing, drafting, editing, and proofreading skills
- Excellent organizational, analytical, and project management abilities
- Ability to synthesize information from multiple sources and communicate clearly
- Strong attention to detail and sound judgment
- Ability to manage multiple priorities independently and with discretion
- Experience handling confidential information
Preferred Experience
- Public-sector, government, policy, executive communications, or government affairs experience
- Familiarity with clean energy, sustainability, or the New York State energy system
- Experience coordinating communications with government offices, boards, or oversight bodies
- CAPM or PMP certification
