Project Coordinator – Operational Excellence
Location: Remote; Albany, NY area preferred; New York State residency required
Schedule: Full-Time, 40 hours per week
Duration: 12-month contract with option to renew
Pay Range: $32–$38 per hour

Sapphire Recruitment is seeking a highly organized Project Coordinator to support operational excellence initiatives for a large public-sector organization focused on energy innovation and sustainability across New York State.

This role supports cross-functional projects related to business process improvement, system implementation, operations, training, and learning and development. The ideal candidate is detail-oriented, dependable, and comfortable managing multiple priorities while keeping tasks, timelines, and stakeholders organized.

Key Responsibilities

  • Coordinate meetings, prepare agendas, take notes, and track action items
  • Maintain project trackers, status reports, and internal documentation
  • Follow up on open items and help ensure project tasks stay on schedule
  • Support data collection, analysis, cleanup, accuracy checks, and system updates
  • Assist with User Acceptance Testing for new software or system implementations using provided scripts
  • Coordinate training registrations, attendance, completion tracking, and new hire orientation support
  • Help maintain Knowledge Base and Learning Management System content and records
  • Communicate project updates and pending items to internal stakeholders
  • Support cross-functional teams with general coordination, documentation, and operational tasks

Qualifications

  • 3+ years of experience in project coordination, operations coordination, project assistant, or similar support role
  • Associate’s or bachelor’s degree preferred; strong directly related experience will also be considered
  • Strong proficiency with Microsoft Office 365, including Word, Excel, PowerPoint, and Outlook
  • Experience with data entry, data management, reporting, cleanup, and cross-checking information
  • Excellent organizational skills, follow-through, and attention to detail
  • Ability to manage 3–5 active projects or workstreams at once
  • Strong written and verbal communication skills
  • Professional confidence working with executives, managers, project teams, and cross-functional stakeholders
  • Ability to work independently, meet deadlines, and handle competing priorities with accuracy and good judgment

Preferred Experience

  • Familiarity with Asana, JIRA, Confluence, Salesforce, NEIS, or similar enterprise systems
  • Experience supporting training coordination, LMS administration, or knowledge management
  • Prior exposure to User Acceptance Testing or software implementation support
  • Government, public-sector, operations, business process, HR, or training administration experience
  • Comfort using MS Teams, Webex, and other virtual collaboration tools
