Sapphire Recruitment is seeking a highly organized and proactive Project Administrative Assistant for a premier Syracuse-based organization. This is a Temp-to-Hire position designed for a professional who excels in structured, fast-paced environments and enjoys being the "glue" that keeps projects moving forward.
In this newly created role, you will act as a vital support system for several Project Managers, handling the heavy lifting of documentation and data so they can focus on field operations.
Project Liaison: Act as the primary point of communication between Project Managers, field Superintendents, and the Accounting/Estimating departments.
Document Control: Create, log, and track all project-specific administrative records to ensure 100% accuracy and accessibility.
Order Processing: Manage project submittals by reviewing and inputting orders directly from email correspondence.
External Coordination: Assist in coordinating workflows with architects, subcontractors, vendors, and clients.
Administrative Maintenance: Perform high-volume data entry, digital filing, and general office tasks to maintain peak organizational efficiency.
Data-Driven: You possess exceptional data entry speed and accuracy.
Tech-Savvy: You are highly proficient in MS Office and comfortable learning new project management software.
Construction-Minded: While not required, prior experience in Construction, Engineering, or Project Administration is a significant advantage.
Detail-Oriented: You can follow complex, multi-step instructions without losing sight of the small details.
Reliable: You have a proven track record of stable employment.
Schedule: Monday – Friday, 8:00 AM – 5:00 PM (1-hour lunch break).
Compensation: $18.00 – $20.00 per hour.
Work Setting: Professional office environment with a business casual dress code (jeans are permitted).
Location: Syracuse, NY (On-site).
