Administrative Assistant | Part-Time | In-Office
Pay: $20–$25/hour
Schedule: Part-time; flexible hours based on workload (estimated 10–20 hours/week, may fluctuate). Availability during standard business hours is required.
Position Overview
A multi-entity organization supporting architecture, construction, and landscape services is seeking a dependable, detail-oriented Administrative Assistant to provide in-office clerical and administrative support. This role focuses on practical, day-to-day office support—helping keep documentation organized and operations running smoothly across multiple teams and entities.
Core Responsibilities
Front Office Support
Serve as the first point of contact for visitors, phone calls, and vendors
Greet clients, subcontractors, and partners professionally
Route calls and inquiries to the appropriate team members
Receive, sort, and distribute mail and deliveries
Clerical Support Across Entities
Provide clerical support to office staff and project teams across entities
Assist with scheduling meetings and coordinating calendars as directed
Perform data entry, printing, scanning, copying, and filing
Maintain organized physical and digital filing systems
Office Administrative Support
Support consistent document organization across all entities
Assist with office supply ordering and basic inventory tracking
Coordinate occasional local errands (post office, accountant, etc.)
Complete additional administrative tasks as assigned by the Office Manager
Qualifications
Prior administrative or clerical experience preferred
Strong organizational skills and attention to detail
Professional written and verbal communication skills
Comfortable supporting multiple teams within a shared office environment
Reliable transportation for occasional local errands
Dependable, adaptable, and comfortable with changing priorities
